JOB RESPONSIBILITY
- Ensure proper authorization is secured before releasing warehouse materials / tools to the
Operations Development & Facilities Management team, adhering to the “First-In / First-Out” or “First-Expired / First-Out” principle for material issuance - Guarantee thorough inspection and verification of materials from the Receiving team or suppliers to meet all specifications, with non-conforming materials being rejected and the Procurement team contacted for resolution, including exchange, return, or cancellation of incorrect materials / tools
- Maintain and optimize inventory levels in the warehouses, in collaboration with the Facilities Management team, to regularly clear outdated / obsolete / expired stock, ensuring warehousing flexibility and satisfactory inventory turnover rates
- Oversee and uphold the Periodic Automatic Replenishment (PAR) standards to ensure inventory items align with the needs of Facilities Management team. Act swiftly to replenish items and seek alternatives when necessary, guaranteeing an uninterrupted and reliable supply of warehouse materials for daily FM operations
- Ensure precise inventory management of the Technical Warehouse; spearhead monthly comprehensive stocktaking with the team and address any discrepancies found
- Monitor and maintain expiration dates and shelf life for all inventory items. Collaborate with the Facilities Management team for appropriate actions regarding any expired or defective items
- Regularly assess material / tool usage frequency in conjunction with the Facilities Management team to update standards for storing / supplementing materials, and work with relevant departments to clear obsolete items, thus preventing overstock
- Work in tandem with the Finance Department to confirm that all material and fixed asset records including goods receipt, storage, distribution, and categorization are consistent with Warehouse records
- Monitor the entire process of materials / tools in and out, ensuring all purchases and uses are justified. Maintain a balance between purchasing, stocking, and usage to support long-term sustainable development
- Maintain close liaison with the Procurement Department for issuing purchase orders, tracking deliveries, managing returns, and all activities essential to the technical warehouse’s daily operations
- Closely communicate with the Procurement Department to stay informed about market conditions and merchandise costs, developing purchasing strategies that include inventory forecasting and stocking to efficiently meet daily team requirements
- Coordinate with the Facilities Management team to ensure all Facilities Management repair and maintenance services, contract actions, drafting, finalization, and related management tasks are performed on time, meeting daily operational needs and government regulations
- Facilitate and uphold high-quality communication within the Warehouse team and across other divisions, resolving conflicts as necessary
- Integrate all data for report generation to identify organizational improvement opportunities through process analysis. Pinpoint potential enhancements in efficiency, company effectiveness, and material inflow / outflow, and develop suitable solutions
- Coordinate with the Facilities Management Duty Team on all administrative tasks for Elevated Working Platform (EWP) loaning / returning, and liaise with contractors for necessary EWP maintenance to ensure optimal conditions for daily operations
- Regularly review the Standard Operating Procedure (SOP), Working Instruction (WI), and all Warehouse & Procurement, and Dispatching Centre documentation, and in collaboration with the Facilities Management team, devise and implement an improvement plan to maximize benefits for the Facilities Management team and the company
- Lead and manage the Dispatching Centre providing support that includes CMMS system (Work Order) management, call /message handling, emergency prioritization, reporting, and daily coordination with the Facilities Management team. Continually seek improvements and optimizations to ensure high-quality communication and team collaboration
- Provide administrative support to office, system, and team management to maintain daily operational requirements
- Guide team members under the company’s code of conduct and ethics
- Perform all other duties within the scope of responsibilities related to Warehouse & Procurement and the Dispatching Centre as assigned by management
JOB SPECIFICATION
- At least 7 years’ experience in supply chain with at least 3 years’ experience in a management role
- With engineering / facilities knowledge and relevant procurement management experience would be an advantage
- Preferably in hospitality, gaming, middle / large-scale industry and relevant chains environments
- Demonstrated experience in warehouse techniques to provide cost minimization while maintaining quality and use balance
- Good business, financial and analytical thinking
- Good leadership and communication skills
- Developed analytical thinking, understanding and application of logical and analytical thinking to a wide range of intellectual and practical problems
